What I Actually Do for You: The Full-Process Purchase Service Explained

By Howard | Terrametis
When people hear "sourcing agent" or "China trader," they usually imagine one thing: someone who finds a supplier, forwards a quote, and collects a fee.
That is not what I do.
At Terrametis, my job begins before you even know what to order — and it doesn't end until your goods are safely in your hands and you're satisfied with what you received. This article walks you through exactly what that looks like, step by step.

Step 1: Understanding What You Actually Need

Most purchasing problems start here — not at the factory, not at customs, but at the very first conversation.
Buyers come to me with a product name, a photo, or a vague idea. My first job is to help translate that into a precise, workable requirement — one that accounts for your local market standards, voltage specifications, packaging regulations, required certifications, and realistic budget.
This step saves money. Clarifying your real need upfront prevents wrong purchases, incompatible specifications, and costly re-orders. I ask the questions that most suppliers won't — because suppliers want to close the sale, while I want to make sure the right product gets to you.

Step 2: Supplier Screening and Factory Verification

I don't send your inquiry to 20 suppliers and wait to see who responds fastest. I identify the right candidates based on production capability, quality track record, factory size, and whether they've worked with export markets before.
When necessary, I visit factories in person. I check their production lines, inspect their equipment, review their certifications, and assess whether their operation matches what they claim online. Many factories look very different on-site than they do in their Alibaba profile.
This is your risk filter. It keeps small workshops, unstable manufacturers, and dishonest middlemen out of your supply chain before they can cause damage.

Step 3: Sample Coordination and Evaluation

Before any bulk order is placed, I coordinate samples and evaluate them with you. I check dimensions, materials, finish, function, packaging, and any market-specific requirements — and I document everything with photos and video.
If the sample has problems, I work with the factory to fix them before production begins. This is the most cost-effective moment to catch issues: before thousands of units are made.

Step 4: Price Negotiation and Total Cost Calculation

I negotiate pricing directly with factories — not as a buyer who needs to accept whatever is offered, but as a local professional who understands market rates, production costs, and leverage.
More importantly, I calculate your total landed cost. That means factoring in unit price, packaging, inland freight, export customs, international shipping, destination duties, and any compliance costs. The unit price is only one number. The number that matters is what the product costs you by the time it reaches your warehouse.
I make sure there are no surprises.

Step 5: Production Follow-Up

Once an order is placed, I act as your project manager on the ground. I track production milestones, communicate with the factory regularly, and flag any delays or issues immediately — before they become crises.
You receive regular updates with photos and progress reports. You never have to wonder what's happening or chase someone for information. One person — me — is fully responsible and fully reachable.

Step 6: Quality Inspection Before Shipment

This is one of the most valuable steps in the entire process, and the one most buyers skip when working without a local partner.
Before goods are loaded for shipping, I conduct an on-site inspection. I check product quality against your confirmed sample, verify quantities, review packaging and labeling, and document everything. If problems are found, they are resolved before the shipment leaves China.
Once goods are on a container ship, your options narrow significantly. Catching issues here protects your investment completely.

Step 7: Logistics, Shipping, and Documentation

I recommend the shipping method that best fits your timeline and budget — sea freight, air freight, express, or a combination. I work with reliable freight partners and help you avoid the common trap of choosing the cheapest option that turns out to be the slowest or least reliable.
I also handle export documentation, customs declaration paperwork, and packaging compliance — making sure everything is correct before it reaches your destination country's customs authorities.

Step 8: After-Sales Support and Long-Term Partnership

My job doesn't end at delivery. If questions arise about installation, usage, or product performance, I'm here to help. If there are any after-sales issues that require factory intervention, I handle the communication and push for resolution on your behalf.
Beyond individual orders, I stay engaged with your market — keeping you informed about new products, pricing shifts, and supply chain developments that could affect your business.

One Person, Full Responsibility

The traditional model splits responsibility across many parties: a sourcing agent, a quality inspector, a freight forwarder, a customs broker. When something goes wrong, everyone points at someone else.
At Terrametis, I handle everything. One point of contact. One person accountable. No gaps, no finger-pointing, no disappearing acts.
This is what a full-process purchase service looks like. And it's what I offer every client — not as a premium add-on, but as the standard way I work.
